group trip terms & conditions

These Terms & Conditions (“Agreement”) apply to all clients (“Traveler”) who book or participate in any group trip organized by Rooted and Roaming (Tricebtrippin). By submitting a deposit or completing a booking form, the Traveler agrees to these terms in full.
1. Booking & Deposit
A non-refundable deposit is required to secure a spot on any group trip.
Deposits are non-refundable but can be moved to another trip, traveler, or date.
Your reservation is not considered confirmed until the deposit has been received and a confirmation email has been issued by the Company.
2. Payment Schedule
The remaining balance must be paid in accordance with the payment schedule provided at booking.
Failure to make payments by the stated deadlines may result in automatic cancellation of your reservation without refund.
Payment plans, if offered, are a courtesy and not guaranteed.
3. Cancellation & Refund Policy
3.1 Traveler Cancellations
If the Traveler chooses to cancel their participation in the trip:
Deposit is 100% non-refundable under all circumstances.
Refunds on other payments will follow this schedule:

The Company does not issue refunds for:
Missed flights
Personal emergencies
Illness or medical issues
Scheduling conflicts
Travel delays
Traveler deciding not to attend for any reason
Travel insurance is strongly recommended to protect against personal risk.
3.2 Company Cancellations
If the Company cancels the trip for reasons within its control, Travelers will receive a refund of payments made (excluding third-party costs already paid).
If the cancellation is due to events outside the Company's control—such as natural disasters, government restrictions, or safety concerns—the Company reserves the right to reschedule or issue future travel credit instead of refunds.
4. Travel Insurance
The Company strongly recommends that Travelers purchase comprehensive travel insurance, including coverage for trip cancellation, trip interruption, medical emergencies, and lost luggage.
Travelers who decline insurance assume full financial responsibility for any losses.
5. TrAvel Documents
Travelers are solely responsible for:
Valid passports
Required visas
Vaccination or testing requirements
Entry/exit regulations
The Company is not responsible for a Traveler being denied entry, removed from a country, or failing to meet documentation requirements.
6. Itinerary Changes
The Company reserves the right to:
Modify accommodations
Adjust activities
Change scheduling
Alter transportation
Changes may occur due to availability, weather, safety concerns, or factors outside the Company’s control.
No refunds will be issued due to itinerary adjustments that do not materially change the overall trip experience.
7. Assumption of Risk
Travelers acknowledge that travel—especially group travel—may involve inherent risks, including but not limited to:
Illness
Injury
Accidents
Theft
Delays
Unpredictable events
By booking, the Traveler voluntarily assumes all risks associated with participation.
8. Liability Release
To the fullest extent permitted by law, the Traveler agrees to release, indemnify, and hold harmless Tricebtrippin, its owners, employees, contractors, and partners from all claims, liabilities, damages, losses, injuries, or expenses arising from:
Participation in the group trip
Actions of any third-party vendors
Travel delays or disruptions
Illness, injury, or death
Loss or damage to personal property
Events outside the Company’s control
The Company is not liable for the acts or omissions of hotels, airlines, tour operators, transportation providers, or any third-party service providers.
9. Behavioral Expectations
The Company reserves the right to remove any Traveler from the trip without refund for behavior that:
Endangers the safety of others
Disrupts the group
Violates local laws
Causes damage to property
Any costs related to removal are the Traveler’s responsibility.
10. Media & Content Consent
By participating in the trip, the Traveler grants the Company permission to use photographs, videos, or other media taken during the trip for marketing and promotional purposes, unless the Traveler opts out in writing before the trip begins.
11. Acknowledgment
By paying a deposit or completing a booking form, the Traveler confirms that they:
